Start with your role

Your place in the team.

Choose a role to see its workflows. You can switch at any time.

In a workspace, Manager is the admin role and Staff is the member role. Rostr’s platform administrator is a separate role that issues organization codes. Being a restaurant owner or manager does not grant platform access. Working qualifications are set separately.

Getting started

Your first steps, whether you’re starting a team or joining one.

EveryoneRequest a demo & workspace accessMeet Rostr personally and request approval for your restaurant.
  1. Complete the demo inquiry form with your contact details, restaurant name, team size, and any questions.

  2. The Rostr team receives the inquiry at admin@workrostr.com and emails you personally to arrange a demo.

  3. After approval, Rostr sends a single-use organization access code tied to your email. It expires after seven days.

  4. Open /activate or choose the access-code link on Sign in. Enter your code, register with the approved email (or choose I have an account), and name your organization. You become its owner.

  5. Invite managers and staff from your new workspace. Team invitations remain separate from organization access codes.

Keep in mind

Creating an organization requires an approved access code. There is no unrestricted public signup, payment checkout, or automatic subscription activation at this stage.

Request a personal demo
EveryoneUse your code & create an organizationTurn a Rostr-issued access code into a workspace you own.
  1. Open the access-code link on Sign in, or go to /activate. Keep the code out of the page URL; paste it into Organization access code.

  2. Choose New account and enter your name, approved email, and password. If you already registered, choose I have an account and sign in instead. If already signed in, check that the displayed email is the approved one; sign out to switch accounts if needed.

  3. Enter your organization name and choose Create organization. Successful redemption creates a new workspace, makes you its owner, and opens it.

  4. Invite your managers and staff from Team. Their invitation links let them join this workspace without creating another organization.

Keep in mind

Codes are tied to one email, expire after seven days, and work once. Ask Rostr for a replacement if a code is expired, revoked, or already used. If registration succeeded but workspace creation failed, sign in with that account and retry the code; do not register again.

Use organization access code
EveryoneAccept an invitation & join your teamJoin an existing workspace with the role your manager selected.
  1. Open the invitation email from Rostr and follow its private link. Your manager can also share the link directly. Registration requires a valid, unexpired invitation matching your email.

  2. Create your account using the invited email, or switch to Sign in if you already have an account. Then choose Accept invitation to join.

  3. Use Open under Your workspaces when a workspace selection is shown. If the link is expired or no longer available, ask your manager for a new invitation.

Set up your workspace

Give your team the right working patterns, qualifications, and coverage rules.

Owner · Manager / adminInvite your team & confirm working profilesSearch Team hours by name or email and use its arrows to browse five users per page. Access roles and working qualifications are separate.
  1. In Team, choose Invite, enter your teammate’s email, select Staff or Manager, and choose Send invitation. Rostr emails them the workspace invitation link.

  2. The recipient follows the emailed link, registers or signs in with the invited email, then accepts. The link expires after seven days. If email sending fails, use the saved link under Pending invitations to share it personally, or retry sending; retrying a live invitation does not extend its original expiry.

  3. Expand their employee profile to set weekly and monthly hour targets, hour limits, skills, and consecutive-day limits as needed.

  4. For floor scheduling, also open Roster settings and explicitly confirm employment type and qualified duties. Confirm your own working profile if you also work shifts.

Keep in mind

Manager access does not grant floor qualifications. The Manager role is stored as admin; Staff is stored as member. Owners and managers share the scheduling and operations tools documented here.

Open Team
Owner · Manager / adminDefine shift templates & staffing demandCreate reusable shift hours before building a schedule.
  1. On Overview, go to Shift templates and create a template with a name, start and end time, break duration, and any applicable skills or days.

  2. For legacy scheduling, set the template headcount and day-by-day staffing requirements.

  3. For floor scheduling, map morning and night templates in Roster settings, then define section and station demand there.

Keep in mind

Floor scheduling uses section and station requirements instead of adding legacy template headcounts. Break timing and relief coverage are arranged manually.

Open Shift templates
Owner · Manager / adminFloor rosterSet up & activate a floor rosterModel your restaurant’s sections, dedicated stations, and qualified crew.
  1. Confirm each employee’s full-time or part-time working profile and the duties they are qualified to cover.

  2. Map morning (M) and night (N) shift templates and set the minimum rest period. FULL combines both mapped shifts.

  3. Create floor sections, select eligible duties and favored employees, and place dedicated stations in their sections.

  4. Add staffing requirements for each shift, day, section, and station. Cashier and barista staffing is additional to general floor staffing; front of house counts once in its own section.

  5. Resolve every issue in the setup checklist, then choose Activate floor roster. Existing rosters remain readable.

Plan & publish the week

Turn everyone’s availability into a roster your team can rely on.

EveryoneLegacy schedulingSet recurring availability & date exceptionsRecord usual working windows and date exceptions. Search users by name or email and browse five per page with the table’s arrows.
  1. In a workspace using legacy scheduling, open Availability and add recurring day-of-week windows with an available, preferred, or unavailable state.

  2. Add a date-specific exception when a particular day differs from your recurring pattern.

  3. Set preferred shifts, days, days off, shifts per week, and shift-duration preferences where needed. Managers can maintain these for teammates; staff maintain their own.

Keep in mind

In floor mode, Overview shows the weekly review or a link to My preferences instead. Part-time staff can copy existing recurring hours into a weekly submission, then review and submit them.

Open Availability
EveryoneFloor rosterSubmit your weekly preferencesTell your manager when you can work for the coming Monday–Sunday week.
  1. Open My preferences and select the correct week. Your manager must first confirm your employment type and floor qualifications.

  2. Full-time staff request one regular off day. Part-time staff enter preferred hours inside the earliest start and latest finish they can actually work, and mark unavailable dates.

  3. Use Copy previous week or, for part-time staff, Copy recurring hours if helpful. Check every copied date and firm availability limit.

  4. Submit and check the Submission status. The cutoff is Monday 00:00 in Malaysia time; the page displays the deadline for the selected week.

  5. After the cutoff, changes await manager review. Your current effective preferences stay in force until the change is accepted.

Keep in mind

Missing availability is not permission to schedule any hours. A preferred off day is a request until it is accepted and shown as Protected.

Open My preferences
EveryoneFloor rosterRecord approved annual leaveKeep already approved leave visible to the roster planner.
  1. Get annual leave approved outside Rostr first.

  2. In My preferences, choose Log annual leave and select the approved date. Managers can use Log employee AL in the weekly review for a teammate.

  3. Check that the date appears in the week’s Annual leave list. If it overlaps published work, your manager receives an in-app attention notification and must review the roster.

Keep in mind

Annual leave blocks work and is separate from the regular weekly off day. Logging leave does not silently rewrite a published shift.

Open Annual leave
Owner · Manager / adminFloor rosterReview preferences & resolve off daysSettle the decisions that a weekly roster needs before publication.
  1. Select the roster week on Overview, then open Preferences & days off under Availability.

  2. Review missing submissions and late changes. Compare current and requested preferences, then choose Accept change or Keep current preferences.

  3. Use Set off day to resolve competing full-time requests. Compatible requests may be accepted when a complete draft demonstrates coverage; unresolved requests need your decision.

  4. To change a protected off day, agree a replacement outside Rostr first, then use Record agreed change and enter the agreement note.

Keep in mind

Accepting a preference change does not reopen a protected off day. Rostr does not automatically choose a replacement off day.

Open Weekly review
Owner · Manager / adminFloor rosterGenerate, review & publish a floor rosterBuild a qualified weekly plan and check coverage before your team sees it.
  1. On Overview, select the intended week and choose Generate weekly draft. Effective preferences, protected off days, leave, and qualified coverage feed the draft.

  2. Inspect the weekly table, calendar, and coverage report. Add or adjust assignments and review exact interval gaps and hour-target notes.

  3. If regenerating, locked manual assignments are preserved unless you explicitly choose Replace locked manual assignments.

  4. Resolve publication blockers and off-day decisions. When preferences, leave, or settings have changed, choose Revalidate draft and review the results.

  5. Choose Publish weekly roster when coverage is valid and inputs are current. Staff can then see their own published shifts. In Copy the published roster, review or edit the message, then use Copy message to paste it into your own messaging channel.

  6. To change a published floor roster, choose Create draft revision, make your edits, revalidate, and publish the revision. The current published roster remains visible until the replacement is published.

Open Weekly roster
Owner · Manager / adminLegacy schedulingGenerate & publish a legacy scheduleUse template headcounts and availability in workspaces that have not activated floor mode.
  1. Prepare employee profiles, shift templates, staffing demand, and availability on Overview.

  2. In Schedule, select the period’s start and end dates and generate a draft.

  3. Review the calendar, staffing coverage, and validation feedback. Create manual assignments or edit and remove assignments as needed.

  4. Resolve blocking validation issues, then publish the draft so staff can view their own published assignments. Use Copy the published roster to review and copy the team message for your messaging channel.

Keep in mind

After floor mode is activated, use the weekly floor-roster workflow for new generation and publication.

Open Schedule
StaffFind your published shiftsKnow when you’re working and what your next shift involves.
  1. Open Overview in your team’s workspace and find Current calendar or Weekly roster.

  2. In floor mode, use the week controls to find the week you need. Read M as Morning, N as Night, FULL as both mapped shifts, and AL as Annual leave.

  3. Check your dates, times, and floor assignment details. Staff see only their own published assignments.

  4. If nothing appears, confirm the workspace and week, then ask your manager whether the roster has been published. Drafts are not shown to staff.

Run the day

Count what’s on the shelf, complete shared routines, and stay up to date.

Owner · Manager / adminSet up the stock registerDefine what gets counted and when it should be flagged as low.
  1. In Stock categories, choose Add category and enter a name. A manager must create a category before the first stock item can be added.

  2. Choose Add stock item, enter its name and unit, select an existing category from the dropdown, and set its minimum quantity.

  3. Use Edit category to rename a category and update its assigned items. Delete category leaves its items uncategorized and preserves their quantities and count history; edit those items to select a replacement category.

  4. Edit the item’s details or low-stock threshold as needed. Its unit stays fixed so counts remain comparable; create another item for a different unit.

  5. Archive retired items to remove them from the active register while keeping their count history.

Open Stock count
EveryoneRecord a physical stock countGive the whole team a current view of what’s on hand.
  1. Open Stock count and choose Count whole inventory above the history. Every active item shows its last quantity, count time, and teammate.

  2. Review every quantity. Previous quantities are prefilled; items never counted need a value. Enter zero if empty. Every item requires a quantity, with up to three decimal places; notes are optional.

  3. Choose Save all counts to record the whole inventory together. If an item changes while you count, refresh and review the inventory before retrying; no partial count is saved.

  4. For a single item, expand its row and choose Count stock. Stock items appear five per page with red low-stock badges first, followed by uncounted items. Use the item search to find names or categories, then the arrows to browse matching results. Categories have their own search field. Choose Search or press Enter to apply a filter, and Clear to restore the list.

Keep in mind

This is a physical stock register. Purchases, receipts, usage, and stock valuation are not recorded here. Count history appears above the stock sections, newest first, with three records per page. Use the arrows to browse older counts.

Record a stock count
Owner · Manager / adminBuild opening & closing routinesGive each service a consistent, ordered set of checks.
  1. Open Checklists and find Checklist templates below the daily routines.

  2. Add separate Opening and Closing tasks and set their order.

  3. Edit or remove tasks as your routine changes. Changes apply to checklists started afterward; existing daily checklists keep their original task snapshot.

Edit Checklist templates
EveryoneComplete today’s shared checklistsStart ready, leave useful handover notes, and close well.
  1. Open Checklists for today and choose Start opening checklist or Start closing checklist. A manager must create template tasks first.

  2. Work through the shared tasks, add an optional handover note, and choose Mark complete. Your name and completion time are recorded.

  3. Choose Reopen task if a check needs to be done again. Everyone in the workspace uses the same run for that date and routine.

  4. When every task is checked, the routine is complete. Use the date controls to review previous checklists.

Keep in mind

Dates follow Asia/Kuala_Lumpur. Only today’s checklists can be started or changed; previous dates are read-only.

Open Today’s checklists
EveryoneRead updates & choose notification channelsKeep roster changes and important follow-ups in view.
  1. Open Inbox to read the full subject and message for your latest 20 roster publications, shift changes, and attention messages. Messages use the same personalized content as email notifications and only show updates addressed to you in the current workspace.

  2. Expand Notification settings, then choose In-app or Email. Email delivery depends on your workspace’s email service configuration.

  3. Save your preference and choose Mark all read after reviewing updates. Open Overview to check the actual roster details. Message times follow Malaysia time.

Keep this handy

A few things worth knowing.

Is an organization code the same as a team invitation?

No. An organization code creates one new workspace and makes its approved recipient the owner. A team invitation adds a person to an existing workspace with the role its manager selected. Both are tied to the recipient’s email and expire after seven days.

Who can generate or revoke organization codes?

Only the explicitly assigned Rostr platform administrator can use /platform to issue and revoke codes. Restaurant owners and managers invite their own teammates from Team. Rostr shares organization codes personally after approval; generating a code does not automatically send an email.

Why was my organization code rejected?

Use the email Rostr approved and check whether the code has expired, been revoked, or already been redeemed. If an account was created before workspace setup failed, choose I have an account and sign in before retrying. Contact admin@workrostr.com if you need a replacement code.

Which scheduling mode does my workspace use?

Floor mode shows a weekly roster with M, N, and FULL assignments, plus a weekly preference review. Legacy mode uses template headcounts, a date-range schedule generator, and recurring availability. Owners and managers configure and activate floor mode in Roster settings. Use the workflow labels above to find the instructions that match your workspace.

Why can’t I see or publish a roster?

Staff see their own published assignments, so check your workspace and week and ask your manager whether publication is complete. For managers, publication can be blocked by coverage gaps, unresolved off days, or inputs that changed after validation. Resolve the listed issues and revalidate the draft before publishing.

What if someone else changed an item while I was editing?

Refresh the page, review your teammate’s latest changes, and submit again. Stock counts, checklist tasks, and roster edits use change checks to prevent an older form from overwriting newer work.

What happens after I submit a late preference change?

The change appears for manager review. Your existing effective preferences remain active until a manager accepts it. An already protected weekly off day requires a separately agreed change; annual leave does not replace that off day.
